Tax Project Coordinator to Managing CPA

We are currently looking for a Tax Project Coordinator to be the supportive force that empowers our senior leadership.

The Tax Project Coordinator is considered a key position, and your main responsibility is to assist and support one or two of our senior tax consultant CPAs. This is a long term position with significant potential for growth.

Time requirement: 20-30 hours during training, to increase to up to 40 hours per week during Monday-Friday business hours.

Time Zone: The ideal candidate will be located between UTC+0 and UTC+9 times and expected to have some overlap with CET (Central European Time Zone) hours.

Description: To assist the Managing CPA with client communication, workflow, and client projects. To continually work with them to find efficiencies and improve our clients’ experience with Bright!Tax.

Objectives of this Role: 

  • – With a primary responsibility of supporting the Managing CPA to ensure that company goals and objectives are accomplished and operations run efficiently
  • – Maintain and refine internal processes that support the Managing CPA and their team, coordinating internal and external resources to expedite workflow.
  • – Manage communication between the Managing CPA, team members, and clients on various projects and tasks.
  • – Plan and orchestrate work to ensure the senior executives’ priorities are met, organizational goals are achieved, and best practices are upheld.

 

Daily and Monthly Responsibilities

  • – Manage professional scheduling for the Managing CPA, including email, client calls, client management, and other company logistics.
  • – Review and address all incoming emails within 24 hours of receipt. Address emails directly on behalf of the CPA where possible or escalate for CPA review where uncertainty exists.
  • – Maintain the project and client database up to date, ensuring notes, reminders, and follow-ups are set as needed.
  • – Attend daily meetings with the team.
  • – Review CPA & tax team calendars weekly to ensure scheduling compliance. Inquire as delays are discovered, coordinating with the Calendar Management Associate as required.
  • – Review Overdue Reports and KPI Progress to ensure targets are met
  • – Maintain professionalism and strict confidentiality with all materials

 

Skills and Qualifications

  • – Superb English: written and verbal communication skills
  • – Previous experience in an administrative role
  • – Strong time-management skills and the ability to organize and coordinate multiple projects at once
  • – Must be able to meet deadlines in a fast-paced environment
  • – Proficiency in Microsoft Office and other office productivity tools, with the aptitude to learn new software and systems  
  • – Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge

Remote IT Strategist

We are currently looking for an experienced IT Strategist to develop and implement technology strategies that align with our organization's overall business goals and objectives.

Key Responsibilities:

  • – Develop and implement IT strategies that align with the organization’s overall business goals and objectives.
  • – Collaborate with leadership and stakeholders to identify technology needs and opportunities for improvement. 
  • – Conduct research and analysis to identify emerging trends, technologies, and best practices that can be applied to the organization’s operations, with special focus on integrating AI into our processes.
  • – Develop and maintain relationships with vendors, partners, and other stakeholders to ensure that the organization has access to the latest technologies and resources.
  • – Identify risks and opportunities associated with technology and develop plans to address them.
  • – Develop and monitor key performance indicators (KPIs) to measure the effectiveness of IT strategies and initiatives.
  • – Communicate IT strategies, plans, and initiatives to stakeholders and leadership.
  • – Lead cross-functional teams to implement IT initiatives and ensure that they are completed on time and within budget. We are currently exploring the possibility of consolidating 6 systems into Hubspot. Additionally, we have a project in progress to develop a new browser-based app for our clients to utilize when sharing their tax details and documents with us.
  • – Ensure that the organization’s IT infrastructure is secure, reliable, and scalable.
  • – Directly manage our IT Associate and learn the ins and outs of our systems in order to act as a support and backup to our Associate.

 

Skills and Qualifications:

  • – Bachelor’s degree in Computer Science, Information Technology, or related field. 
  • – At least 4 years of experience in IT strategy, with a track record of developing and implementing successful IT strategies.
  • – Strong knowledge of emerging technologies, trends, and best practices, including AI and cybersecurity.
  • – Database and CRM design experience. The ideal candidate will have experience with Hubspot administration (bonus points for Quickbase knowledge).
  • – Excellent analytical and problem-solving skills.
  • – Strong leadership and project management skills.
  • – Excellent communication and presentation skills.
  • – Ability to work collaboratively with leadership and other stakeholders.
  • – Preference given to candidates with startup/high-growth company experience.

 

Main points of contact during training are located in Argentina and Spain. This is a freelance contract position.
